During handling

Say what should happen.

Explain how the freight should be identified, grouped, or otherwise handled. Mention unusual dimensions, fragile contents, or special instructions early.

Before release

Name the next handoff.

Include who is expected to collect the freight, the relevant date, and any information that should accompany the handoff.

Availability and handling requirements should be confirmed directly before making plans.
